WooCommerce Integration: Auto-Reorder for Online Stores

Why WooCommerce + Stokkfy?

WooCommerce tracks inventory when orders are placed, but it doesn't:

  • Predict when you'll run out
  • Automatically reorder from suppliers
  • Optimize order quantities

  • Stokkfy fills the gap with AI-powered auto-reordering.

    What Gets Synced

    From WooCommerce to Stokkfy:

  • Product catalog (name, SKU, categories, variations, images)
  • Stock levels (current inventory per product)
  • Sales history (units sold per product, order dates, revenue)
  • Product variations (size, color, etc.)

  • Sync Frequency:

  • Hourly via WordPress cron job
  • On-demand via webhook (optional)

  • Setup (5 Minutes)

    Step 1: Install Stokkfy Plugin

    1. Log into WordPress admin

    2. Go to Plugins → Add New

    3. Search "Stokkfy"

    4. Click "Install Now" → "Activate"

    Step 2: Connect to Stokkfy

    1. Go to WooCommerce → Stokkfy Settings

    2. Click "Connect to Stokkfy"

    3. Enter your Stokkfy API key (found in Stokkfy dashboard → Settings → API)

    4. Click "Authorize"

    Step 3: Initial Sync

    Stokkfy imports:

  • All products (including variations)
  • Current stock levels
  • 12 months of order history

  • Sync time: 5-15 minutes (depending on catalog size)

    Step 4: Add Suppliers

WooCommerce doesn't store supplier info, so you'll add that in Stokkfy:

  • Supplier name
  • Contact method (WhatsApp, email, phone)
  • Lead time
  • Products they supply

  • How It Works

    1. Orders Update Inventory

    Every WooCommerce order decrements stock:

  • Customer buys Product A → WooCommerce stock -1
  • Stokkfy syncs new stock level

  • 2. AI Predicts Stockouts

    Stokkfy analyzes:

  • Sales velocity (sells 20/day on average)
  • Day-of-week patterns (weekends sell 30% more)
  • Seasonal trends (holiday spikes)
  • Product substitution (if similar products exist)

  • Prediction:

"You'll run out of Product A in 6 days based on current sales."

    3. Auto-Reorder Triggers

When AI predicts stockout within supplier lead time:

  • Generates purchase order
  • Sends to supplier via WhatsApp or email
  • Logs order in dashboard
  • Notifies you

  • Example:

  • Current stock: 80 units
  • Sales velocity: 15/day
  • Lead time: 4 days
  • AI orders 100 units (60 for lead time + 40 safety stock)

  • 4. Order Confirmation

    Supplier confirms.

    Stokkfy logs confirmation.

    You get notification.

    5. Delivery & Receipt

    Delivery arrives.

You mark order as "received" in Stokkfy.

Stock levels update automatically (or manually update WooCommerce stock).

    Product Variations

WooCommerce variations (e.g., T-Shirt in Small/Medium/Large) sync as separate SKUs in Stokkfy.

    Example:

  • WooCommerce product: "T-Shirt"
  • Variations: Small, Medium, Large
  • Stokkfy creates 3 SKUs:
  • T-Shirt (Small)
  • T-Shirt (Medium)
  • T-Shirt (Large)

  • Each variation has its own inventory tracking and reorder points.

    Webhook Support (Optional)

For real-time syncing (instead of hourly):

    1. Go to WooCommerce → Settings → Advanced → Webhooks

    2. Add webhook:

  • Topic: Order created
  • Delivery URL: `https://api.stokkfy.com/webhooks/woocommerce`
  • Secret: (provided in Stokkfy dashboard)
  • 3. Save

Now every WooCommerce order triggers an instant sync.

    Multi-Store Support

If you have multiple WooCommerce stores:

  • Connect each store separately to Stokkfy
  • Each store has its own inventory tracking
  • Orders are store-specific

  • Common Issues & Fixes

    "Products aren't syncing"

Cause: Plugin not activated or API key wrong

Fix: Re-activate plugin, re-enter API key

    "Stock levels are wrong"

Cause: Initial sync pulled old WooCommerce data

Fix: Do a physical count, update WooCommerce stock, re-sync

    "Variations didn't sync"

Cause: Variations don't have unique SKUs in WooCommerce

Fix: Add SKUs to each variation, then re-sync

    "Sync is slow"

Cause: Hourly cron job hasn't run yet

Fix: Enable webhooks for real-time sync (see above)

    Pricing

    WooCommerce: Free (+ hosting costs)

Stokkfy: $79/month (unlimited products, AI predictions, auto-ordering)

    ROI:

  • Save 3-5 hours/week on inventory = $600-1,200/year
  • Reduce stockouts by 90% = $3,000-6,000/year
  • Reduce over-ordering by 30% = $2,000-4,000/year

  • Total savings: $5,600-11,200/year on a $948/year investment
